Getting started
How do I sign up?
Click 'Get started free' on the homepage, enter your business name, email, and a password. You will get a confirmation email — click the link to activate your account. The whole thing takes about 60 seconds.
Is Stoki really free?
Yes. The free plan covers small inventories at no cost forever — no trial, no credit card. Paid plans add higher limits and team features for businesses that grow beyond the free tier.
How many products can I add on the free plan?
The free plan supports up to 50 products. If you outgrow that, you can upgrade to a paid plan at any time from your settings.
Do I need a credit card to start?
No. You can use the free plan without ever entering payment details. We only ask for payment when you choose to upgrade.
Can I import my existing inventory?
You can add products manually today, or scan barcodes with your phone. Bulk CSV import is on the roadmap. If you have hundreds of products to migrate, email us — we will help.
Products
How do I add my first product?
Go to Products → Add product. Fill in the name, price, and stock level. Industry-specific fields appear based on the business type you chose during onboarding.
What are product variants?
Variants let you sell the same product in multiple options — for example, a t-shirt in three sizes and four colours. Each variant has its own price, stock, and SKU.
How do I upload product photos?
From the product edit page, drag photos into the upload area or click to browse. JPG, PNG, and WebP are supported, up to 5MB each. The first photo becomes the primary.
Can I have multiple sizes and colours for one product?
Yes — that is exactly what variants are for. You can combine up to three option types (e.g. size + colour + material) with up to 100 total combinations per product.
How do collections work?
Collections are flexible groups — like 'Summer 2026' or 'Best Sellers' — that you can use to organise your catalogue. A product can belong to multiple collections. You can manage them on the Collections page.
What is the difference between a Type and a Collection?
A product has exactly one Type (like 'T-shirt' or 'Drill'). A product can belong to many Collections (like 'Summer', 'Best Sellers', 'Sale'). Use Type to describe what the product is. Use Collections to group it by theme.
What are tags for?
Tags are free-form labels for fast filtering — like 'organic', 'limited-edition', or 'staff-favourite'. Use whatever makes sense to you. You can filter products by tag on the Products page.
Sales
How do I record a sale?
Go to Sales → Record sale. Pick the products and quantities. Stock is deducted automatically and a record is saved. You can also scan a barcode to add a product instantly.
Can I scan barcodes?
Yes. Click the Scan button on the product or sale screen and point your phone camera at any barcode. Stoki uses the device camera — no extra hardware needed.
What happens to my stock when I make a sale?
Stock is automatically reduced by the quantity sold. A stock movement record is created for audit purposes. If the new stock level drops below your alert threshold, an alert appears on the Alerts page.
Can I undo a sale?
Direct undo is on the roadmap. Today, you can manually adjust the stock back using the 'Adjust' action on the product, and edit the sale record. Email us if you need a full rollback of a complex sale.
Alerts
How do low stock alerts work?
Every product has a low-stock threshold. When stock drops to or below the threshold, an alert appears on your dashboard and on the Alerts page. Out-of-stock products show as urgent.
Can I set custom alert thresholds?
Yes. Each product (and each variant) has its own threshold — set it when you create the product or update it from the product edit screen.
Languages
Is Stoki available in Arabic?
Yes. The entire app is available in Arabic with full right-to-left (RTL) layout. We designed for Arabic from day one, not as a translation layer.
Can I switch languages?
Yes. Go to Settings → Language and pick English or Arabic. The change applies immediately across the whole app.
Are all features available in both languages?
Yes. There is full feature parity. Arabic users get every feature English users get, with proper Arabic translations and RTL layout throughout.
Billing
What payment methods do you accept?
Paid plans accept card payments through Stripe. Paid plans are in active development — until they launch, the free plan is the only option.
Can I cancel anytime?
Yes. There are no contracts. Cancel any time from Settings; you will keep access until the end of the billing period, and you will not be charged again.
What happens to my data if I cancel?
Your data stays in your account. You can re-subscribe at any time. If you delete the account entirely, we keep a backup for 30 days, then permanently delete it.
Do you offer refunds?
Yes. We offer a 14-day refund window for first-time paid subscriptions. After that, paid subscriptions are non-refundable, but you can cancel any time.
Account
How do I change my business name?
Go to Settings → Business name and update it there. The change is reflected immediately on receipts, the dashboard, and anywhere your business is shown.
Can I have multiple users on one account?
Team accounts and multi-user access are on the roadmap. Today, one account belongs to one owner. If you need to share access urgently, email us — we will make a plan.
How do I delete my account?
Self-service account deletion is coming soon. For now, email hello@usestoki.com and we will process the deletion within five business days, in line with UK GDPR.
Security & privacy
Where is my data stored?
Your business data is stored in Supabase data centres in the EU. Web hosting runs on Vercel — see our Privacy Policy for the full list of providers and where they operate.
Is my data encrypted?
Yes. All traffic is encrypted in transit using HTTPS, and the database is encrypted at rest. Passwords are stored as one-way hashes — we cannot see your password.
Who can see my data?
Only you and any team members you invite. We use row-level security so that even Stoki cannot accidentally show your data to another customer. The full list of third-party providers we work with is in our Privacy Policy.
Can I export my data?
A built-in data export is on the roadmap. Today, you can request a copy of your data by emailing hello@usestoki.com. We will send it to you within one month, in line with UK GDPR.
Integrations
Does Stoki integrate with Shopify?
Shopify integration is on our roadmap. Until it ships, you can use Stoki as your inventory source of truth and update Shopify manually. We will announce a launch date once we have one.
Can I use Stoki with WhatsApp Business?
Direct WhatsApp Business integration is a future plan. Today, many of our users record WhatsApp sales by hand using the 'Record sale' page. Faster workflows are coming.
Is there an API?
A public API is planned for later. If you need API access urgently for a specific integration, email us — we will work with you.
